As part of setting up your upcoming contract with Microsoft, you receive an email inviting you to review and complete your contractual details. Microsoft prepopulates your contractual details with the latest information it has on record.

Follow the link in the email to check your information, make any updates if needed, and provide any outstanding details.

The email subject reads "Contract (PKGNumber) details are ready for review" and the sender is Microsoft .

Save this email address to avoid notifications going to your Junk Email folder.

When you select the preceding link, you go to the contract center web form where you can find the details of your contract.

You can view comments in the comments section at the top of the form added by the Customer Operations Manager who sent you the form.

You can forward the invitation email containing your review link to any colleague within your organization. Anyone in your organization who receives the forwarded email can open the link and access the contract information. You don't need to request additional access from Microsoft.

When you save changes, enter your name and email address. The system records this information against every update, so your organization retains full visibility of who reviewed and amended the contract details.

The default language of the form is English. To select a different language, select the globe icon in the top right corner of the page.

The form has three tabs: Details, Documents, and Activity History. The sections on the Details page appear on the left. Use Expand all or Collapse all to manage the view.

Details page

The details section contains information that will be used to auto populate your contractual documents (enrollment, signature form and master agreement and MBSA documents if applicable). The information has been prepopulated based on our latest records where data was available.

Agreement Information contains prepopulated fields for your upcoming agreement, so no input is required.

Prior agreement information contains details on your expiring agreement and this section has fields that let you choose True or False for Transfer SAB (Software Assurance Benefits) and Transfer MSDN (Microsoft Developer Network subscriptions) from a previous agreement to the current one, based on the scenarios below.

Choose Transfer SAB and MSDN when:

  • ✅ You are renewing or replacing an existing contract
  • ✅ Existing agreement has active benefits/subscriptions
  • ✅ You want to retain unused benefits
  • ✅ You want to avoid losing entitlements

It is recommended that you click yes for both. If you need help choosing the right option for these fields, contact your Microsoft representative.

Note

This section is blank and not editable if you are dealing with a new agreement (not a renewal).

The Customer Company Information section contains fields prepopulated with Microsoft’s existing records. You can update the highlighted fields if changes are needed. Please make sure this is the accurate legal address for your organization in this agreement.

Please ensure that the ZIP CODE is in the appropriate full format as per your country or region's requirements.

For United States and Canada make sure to complete the State/Province as this is mandatory field.

  • The Contacts section displays the contacts for roles in your Contractual document and has been pre-populated with any existing contact roles from you previous enrollment.
  • Some of this contract roles are mandatory for completion of your contractual documentation.
  • Only the Notices Contact and the Online Services Manager will get an online administration role in the M365 admin center.
  • All other users with contract roles will be listed as Agreement Participants in the View Contracts section of M365 admin center, but will not have any online role by default

You can edit or delete contacts using the action icons located at the far-left column of the grid.

Use the edit button to update the contact details (name, address, phone) and assign/remove the corresponding roles. You can assign as many roles as needed to each existing contact.

Use the delete button only if the contact no longer requires any role in the agreement. If you only need to remove a role assigned to that contact just un-selected the role from that contact.

Note

If you accidentally deleted a contact you will need to re-create it from the start by adding a new contact.

You can also add new contacts and assign roles by clicking + Add Contact.

  • Complete all fields marked with an * asterisk.
  • Important information on assigning roles:
    • Select all applicable contract roles for each contact.
    • Only 1 contact can be assigned to each role. Do not add the same contact twice. Always select all applicable roles for each contact.
    • Ensure all mandatory roles have a contact assigned.
    • Ensure the Online Services Manager role has a contact assigned.
    • Ensure the Notices Contact and Online Administrator has a valid Microsoft Entra ID.
    • For United States and Canada ensure the State/Province is provided.
  • For role definitions, refer to the following table.
Role Definition
Primary Contact Main customer contact responsible for the agreement and overall coordination.
Notices Contact and Online Administrator Receives official agreement notices and manages online and admin access for the contract.
Additional Notices Contact Backup contact who also receives official communications related to the agreement.
Online Administrator Manages user access and online services related to the agreement (admin-level role).
Electronic Signatory Authorized person who signs the agreement electronically on behalf of the customer.
Electronic Signatory 2 Secondary authorized signer for the agreement (used when multiple signatories are required).
Billing Contact Responsible for invoices, payments, and financial communication for the agreement.
Media Delivery Contact Receives software and media delivery, such as downloads, keys, or physical shipments if applicable.
Software Assurance Manager Manages Software Assurance benefits and entitlements for the customer.
Online Services Manager Oversees online services usage and service administration, including cloud and services access.
Subscriptions Manager Manages subscription lifecycle, including adding, removing, and updating subscriptions.
Customer Support Manager Primary contact for support-related issues and escalations.

You need a Work or School Account (WSA) for the Notices Contact and Online Administrator role (NTC). If the VL contract doesn't include a Microsoft Entra ID for the OSM, the admin center doesn't assign a role. The OLA must assign a role after determining the appropriate Microsoft Entra ID.

The Affiliates section lets you include affiliates in addition to the enrolled affiliate, as needed.

  • Select the option that applies to affiliate inclusion for this enrollment. If you don't select an option, Microsoft treats only the enrolled affiliate as included.
  • To include only the enrolled affiliate, select Enrollment Affiliate Only (recommended).
  • To include all affiliates, select Enrolled Affiliate and all affiliates (recommended). In this scenario, Microsoft doesn't require the details of each affiliate.
  • To include only selected affiliates, choose Enrolled Affiliate and the following affiliates, and then email your Customer Operations Manager with the full legal name and address of each covered affiliate. When you select this option, you name each affiliate, so Microsoft requires full details of each affiliate.
  • Affiliates must be separate legal entities, not departments, divisions, or business units.

The Tenants section displays information only if tenants are included in your quote (CPS proposal ID). If the quote doesn't include tenant information or you didn't agree to tenant information with your account team, this section remains blank. If you plan to have tenants in your agreement, you add the tenants when the quote is final. Your Customer Operations manager works with you to gather the tenant's admin details at a later stage.

Completing the tenant section

  • Complete all mandatory fields for each tenant, including the admin's first name, last name, and email address.
  • If you included a PO (Purchase Order) number in your quote, it appears here. Otherwise, you can add a PO number for each tenant. If you don't provide a PO number, the system uses a tenant enrollment number.

Tax form section

This section applies only if your organization entering into the agreement with Microsoft is based in the United States, Puerto Rico, or Canada. Otherwise, this section is blank.

For customers located in the United States, Canada, or Puerto Rico, your contractual package includes Transaction Tax Terms & Conditions (TTTC). Find the actual form in the documents tab of the online form.

Use the fields in the Tax section of the details tab of the form to complete the TTTC. (Don't complete the form manually).

It's crucial to consult with your internal tax department to ensure accuracy of the tax status you provide. If you claim a tax exemption, you must provide supporting documentation. (Note: Under U.S. tax regulations, taxes are calculated based on the provided "Ship To" address, so ensure it's accurate). Consult your tax department or advisor before completing these fields.

For United States and Puerto Rico, to add a tax address, select Add Customer tax address, complete all required fields, and select Save.

If applicable, use the toggle to indicate whether the address is within city limits.

If applicable and in consultation with your tax department or advisor, select the appropriate tax exemption. If you select Other, use the comment box to provide details.

If you claim to be tax exempt, attach appropriate supporting documents in the documents section.

The available tax-exempt options are different for Canada and the United States. Each set of options applies to the tax-exempt options in the country or region-specific form.

United States Canada
If you select tax exempt = Other, add details in the comment box.
Don't add comments for any other options as this information is disregarded.
If you select tax exempt = Other, PST Number, or R Perming, add details in the comment box.
Leave the comments box blank for any other options as this information is disregarded.

Customer purchase order details section

  • Use the edit icon to enter your purchase order (PO) numbers for Section 1 and Section 2, if applicable. Your PO number appears on your invoice.
  • If you don't have a PO number yet, you can provide it later during signing.
  • If you don't provide a PO number, your enrollment number is used for invoice purposes.
  • Contact your Customer Operations Manager (COM) for additional POs.

Use Save as Draft to save your changes.

Documents page

This section contains a copy of your contract documents. The system prepopulates the documents with the latest information available.

You can download and review the documents. You can't delete these documents. Don't complete this document manually. If you add or update information in the Details tab, it automatically appears in the final contract documents after you submit the web form back to Microsoft.

You can upload required documents such as tax certificates. Use Upload Documents to add any extra files you want included in the contract package for processing. You can download the document by selecting the download button in each document row.

Activity History page

The form includes an Activity History tab that tracks every time you save or submit the file.

Submitting the form

After you complete the form and review the contract details, select Submit form in the upper-right corner to send the contract to Microsoft for processing.

The form includes validations that prevent you from submitting it until you complete all mandatory fields accurately.

You can add comments before submitting the form to Microsoft for processing.

After submission, Microsoft reviews the contract. You can check the status with your Customer Operations Manager.

The form becomes read-only and you can no longer make changes. If you need to make more changes, your Customer Operations Manager reshares the form with you.
